Bookkeeper (Part-Time)

Position Summary

United Way of Greenbrier Valley is seeking an experienced and detail-oriented Bookkeeper to manage day-to-day financial recordkeeping and monthly bookkeeping close processes. This position is responsible for maintaining accurate financial records in QuickBooks, processing donations, and ensuring timely and organized financial reporting. This role works in coordination with the organization’s contracted accountant, who manages higher-level accounting functions. The Bookkeeper is responsible for preparing accurate and complete monthly financial data, reconciling accounts, and ensuring all documentation is properly maintained and ready for review.

Key Responsibilities

Bookkeeping & Monthly Financial Close

  • Maintain all financial records using QuickBooks
  • Pull monthly bank and financial statements for reconciliation
  • Complete monthly bookkeeping close within required timeframes
  • Reconcile accounts and ensure accuracy of financial records
  • Track restricted and unrestricted funds accurately
  • Maintain organized financial documentation for audit readiness
  • Work in coordination with the contracted accountant to ensure accuracy, compliance, and timely reporting
  • Provide clean, organized financial data for accountant review and organizational reporting needs

Donation Processing & Fund Tracking

  • Process incoming donations and record contributions accurately in QuickBooks
  • Scan, enter, and deposit donation records
  • Maintain donor and gift records in coordination with internal systems
  • Reconcile donation records with bank deposits and financial reports
  • Ensure accuracy and confidentiality of all donor financial information

Administrative Financial Support

  • Maintain organized digital and physical financial filing systems
  • Support CEO with financial documentation and reporting needs
  • Assist with audit preparation and financial record requests
  • Provide general operational support related to financial systems as needed

Required Qualifications

  • Proven experience in bookkeeping and financial record management
  • Proficiency in QuickBooks is required
  • Strong experience with nonprofit bookkeeping and fund accounting (restricted and unrestricted funds) is required
  • Experience completing account reconciliations and monthly financial close processes
  • Experience working with grants, designated funds, or nonprofit financial tracking systems
  • Experience coordinating with accountants or external financial professionals is a plus
  • Strong attention to detail and accuracy in financial data entry
  • Ability to manage routine financial processes independently and meet monthly deadlines
  • Strong organizational and time management skills
  • Ability to maintain confidentiality with financial and donor information
  • Experience with donor databases or CRM systems is a plus
  • Associate’s degree or equivalent professional bookkeeping/accounting experience

Schedule & Compensation

  • Part-time position (estimated 20 hours per week)
  • Compensation: $20–25/hour depending on experience
